2025 Election Rules

General Election Rules

The slate of candidates will be posted on CanopyRealtors.com on Aug. 14

Candidates may only begin campaigning after being notified by Janee Cotton, staff liaison to the Nominating and Election Committee, that the slate of candidates has been posted on the Association website.

Online voting may be done anytime during the voting period which begins at 8:30 a.m. Sept. 8 and runs through 5:00 p.m. Sept. 12.

To request nomination forms, or for any questions you may have, contact Janee Cotton, executive assistant and staff liaison to the Nominating and Election Committee for the Association and Canopy MLS, at 704-940-3125 or email Janee Cotton.

The ballots will be tabulated at 5:00 p.m. on Friday, Sept. 12.

  • In the Association election, the online voting system ensures that only Realtor® members of the Canopy Realtor® Association can access ballots and vote, and restricts each Realtor® to voting only once.
  • In the Canopy MLS election, the system now ensures that all members of Canopy MLS (MPs and Subscribers) can access ballots and vote, for Canopy MLS Board and Executive Committee members (Chair-elect and Treasurer). Members and Subscribers may only vote once.
  • All votes must be cast online before the close of the voting period.
  • All votes are considered confidential.
  • Candidates receiving the largest number of votes cast are elected.

Corporate Secretary Duties

The corporate Secretary or his or her designee is responsible for confirming the list of eligible voters.

Election Judge Procedure

The immediate past-president shall act as the Election Judge and shall oversee the tabulation of votes. In the event the past-president is not available, the Secretary or any other member of the Executive Committee (or their designee) may oversee the election results/process. The validity of all votes shall be at the sole determination of the Election Judge. Election results will be published when available.  Vote tabulations will be available to any member upon request.

Counting the Vote

At the close of the voting period, (5:00 p.m. on Sept. 12), in the presence of the election judge, the online votes will be tabulated, certified and the candidates will be called by the Past-President (non-winners) and President-Elect (winners).

Only the judge and staff (as necessary) will be allowed in the room during the tabulation of the ballots. All tally sheets will be signed by the election judge who is present during the tabulation. In the event of a tie, the election judge will authorize a run-off election to be held. The election judge will notify the President and Secretary of the results and the results will be posted on the Association website, CanopyRealtors.com, once all candidates have been notified.

  • The results will also be published in a special edition of “e-Headlines” and all social media outlets.
  • Any protest must be lodged within ten days of the election.
  • All votes will be considered confidential.
  • Decisions made by the election judge are final.
